Administrative Assistant

The administrative assistant provides assistance to several department managers. The assistant coordinates and prepares paperwork for customers as well as entering data to provide documentation for customers. Automotive experience is a plus. A highly organized and proactive person is required for this position. This position involves completing time sensitive documents and working in a fast paced environment. Typical duties include building deals, data entry, commissioning, license and title, and accounts receivable. This is a Monday thru Friday position. We are looking for a competent Administrative Assistant to provide personalized secretarial and administrative support in a well organized and timely manner. You will work on a one-to – one basis on a variety of task related to executive’s working life and communication.

 

Job Responsibilities:

Enhance effectiveness by providing information management support. 

 

Executive Assistant Job Duties:

  • Produces information by transcribing, formatting, inputting, editing, retrieving copying, transmitting text, data, and graphics.
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel arrangements.
  • Represents the executive by attending meetings in the executive’s absence; speaking for the executive in the executives absence.
  • Welcomes guest and clients by greeting them, in person or on the telephone; answering or directing inquires.
  • Maintains confidence and protects operations by keeping information confidential.
  • Complete projects by assigning work to clerical staff; following up on results.
  • Prepares reports by collecting and analyzing information.
  • Secures information by completing data base backups.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recoding meeting discussions.
  • Contributes to team effort by accomplishing related results as needed.
